SwiftlyBook is software that helps businesses follow up with new leads by text message, book calls into their calendar, and send reminders. This policy explains what information we collect, how we use it, and the choices you have.
This policy covers two groups of people:
- Customers: businesses that sign up for SwiftlyBook, and their staff.
- Leads: people who contact one of our customers (for example, by filling out a form on the customer's website or ad) and then receive texts from that customer through SwiftlyBook.
1. Information we collect
From customers
- Account details: name, business name, email, phone number, business address, website, and the business information needed to register a texting phone number with mobile carriers (for example, EIN and company representative).
- Billing details: payments are handled by a third-party payment processor. We do not store full card numbers.
- Settings you provide, such as business hours, calendar preferences, service types, and message wording.
- Calendar information from calendars you connect (such as Google Calendar), limited to what's needed to find open times and create appointments.
About leads (on our customers' behalf)
- Contact details a lead submits to a customer: name, phone, email, address, service requested, and project details.
- Text messages exchanged between the lead and the customer through SwiftlyBook.
- Appointment details, such as booked call times.
Automatically
- Basic technical data when you use our website or app, such as browser type, device information, pages visited, and cookies used for login and site functionality.
2. How we use information
- To provide the service: send texts, read replies, find open calendar times, book appointments, and send reminders and alerts.
- To set up and maintain customer accounts, including registering texting phone numbers with carriers.
- To bill customers and prevent fraud.
- To provide support and send service-related messages.
- To improve and secure the service.
- To comply with legal obligations.
Automated processing. SwiftlyBook uses automated tools to understand what a lead means in a text reply, for example whether "Thursday after 3 works" is a request for a specific time. Reply text is processed only to provide the service.
3. When we share information
We do not sell personal information. We share it only as needed to run the service:
- Service providers that help us run SwiftlyBook, such as providers that host our software and data, deliver text messages and email, process message content, and process payments, plus calendar providers you connect (such as Google Calendar). They may use the information only to provide services to us.
- The customer a lead contacted. Lead information and conversations belong to and are visible to that customer.
- Legal reasons, if required by law, or to protect the rights, safety, or property of SwiftlyBook, our customers, or others.
- Business transfers, if SwiftlyBook is involved in a merger, acquisition, or sale of assets, subject to this policy.
Mobile information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the service providers listed above that deliver the messages.
4. Leads: our role
When SwiftlyBook texts a lead, it does so on behalf of the business the lead contacted. That business decides how lead information is used and is responsible for having the lead's permission to text them. If you're a lead and want your information removed, contact the business you reached out to, or email us at support@swiftlybook.com and we'll pass your request along.
You can stop texts at any time by replying STOP.
5. Data retention
We keep customer and lead data for as long as the customer's account is active and as needed to provide the service. After an account is closed, we delete or de-identify data within a reasonable period, unless we need to keep it for legal, billing, or security reasons.
6. Security
We use reasonable technical and organizational safeguards, and our providers do too. No system is completely secure, so we can't guarantee absolute security.
7. Your choices and rights
- Access, correction, or deletion: email support@swiftlybook.com.
- Texts: reply STOP to any message to opt out, or HELP for help.
- Marketing emails: use the unsubscribe link in any marketing email.
- California and other state residents: depending on where you live, you may have additional rights to know, delete, or correct your personal information, and to not be discriminated against for using these rights. Contact us to make a request. We don't sell personal information or share it for cross-context behavioral advertising.
8. Children
SwiftlyBook is a service for businesses and is not intended for anyone under 18. We do not knowingly collect personal information from children.
9. Changes to this policy
We may update this policy. If the changes are significant, we'll notify customers by email or in the app. The effective date at the top shows when it was last updated.
